Overviewβ
The Minotaur Gmail integration connects your Gmail or Google Workspace mailbox to the Minotaur CRM, allowing you to:
- Send emails to contacts directly from a contact's record, with attachment and open/link tracking.
- Reply and forward existing email threads without leaving the app.
- Read a contact's email history β messages between you and that contact are surfaced in the contact's profile.
- Automatically capture inbound replies β when a contact emails you back, the message is logged as a CRM activity and you receive an in-app notification.
Scope of this integration: Gmail email only. Google Calendar, Google Contacts, and Google sign-in/SSO are not part of this integration.
Prerequisitesβ

No special Google admin configuration is required for personal Gmail accounts. For Google Workspace accounts, your organization's admin may need to allow third-party OAuth applications under Admin Console β Security β API Controls.
Adding the Integration (Install & Connect)β
- Log in to app.minotaursales.io.
- Navigate to Settings β Connections β Emails.
- Click Connect Gmail / Google Workspace.
- A new browser tab opens with Google's authorization page. Log in to your Google account (if not already) and review the requested permissions:
- Read your basic profile info and email address (
userinfo.email,userinfo.profile) - Read, send, and modify Gmail messages (

- Click Allow.
- The tab closes and you are redirected back to Minotaur. Your Gmail address now appears as a connected account in the Emails table under Settings β Connections β Emails.
Using the Integrationβ
Sending Email to a Contactβ
- Open any contact record.
- Click Send Email (or the email icon in the contact's actions).
- Your connected Gmail account is available as the sender.
- Compose your message (subject, body, attachments) and click Send.
- The sent email is logged as an email activity on the contact's timeline.
Replying and Forwardingβ
- Open an email thread in a contact's record.
- Use the Reply or Forward action to send directly from your Gmail account.
Reading a Contact's Email Historyβ
- Open a contact record and navigate to the Emails tab (or the activity timeline).
- Minotaur fetches messages from your Gmail inbox where the contact's email address appears, displaying them in the contact's profile.
Automatic Inbound Email Captureβ
When a contact replies to one of your sent emails or sends you a new message, Gmail notifies Minotaur in real time. The inbound message is automatically logged as a CRM activity on that contact's record and triggers an in-app notification. No manual action is needed.
Inbound capture applies to replies to your sent emails and messages from known contacts only (the sender's email must match a contact in Minotaur).
Removing the Integrationβ
- Go to Settings β Connections β Emails.
- Find your Gmail account in the table.
- Click the delete (trash) icon on that row and confirm.
- Minotaur removes the stored OAuth tokens for that account. Future emails and inbound capture for that address are disabled.
Note: Removing the connection in Minotaur does not revoke access at Google's end. To fully revoke access, also visit Google Account Security β Third-party apps and remove Minotaur.
Troubleshooting / FAQβ
"This Gmail account is already connected"β
Each Gmail address can only be connected once per user. Check your existing connections in Settings β Connections β Emails. To reconnect with a different Google account, delete the existing connection first.
My connection shows "Expired" or "Disconnected"β
Go to Settings β Connections β Emails, delete the expired connection, then click Connect Gmail / Google Workspace again.
Inbound emails are not being captured automaticallyβ
- The sender must be a contact already in Minotaur (their email must match a contact record).
- Auto-capture applies primarily to replies to emails you sent from Minotaur, or to inbound messages from known contacts.
- If you recently reconnected, allow a few minutes for the Gmail notification watch to reactivate.
Google Workspace admin blocked the connectionβ
Ask your admin to allow Minotaur in Admin Console β Security β API Controls β App Access Control.
Data & Privacyβ
