Overview​

The Minotaur Microsoft Outlook integration connects your Microsoft 365 or Outlook mailbox to the Minotaur CRM, allowing you to:

  • Send emails to contacts directly from a contact's record, with attachment support.
  • Reply and forward existing email threads without leaving the app.
  • Read a contact's email history β€” messages between you and that contact are surfaced in the contact's profile.
  • Automatically capture inbound mail β€” when a contact emails you, the message is logged as a CRM activity and you receive an in-app notification, powered by Microsoft Graph webhooks.

Scope of this integration: Outlook email only. Microsoft Calendar, Microsoft Contacts, and Microsoft/Entra ID sign-in/SSO are not part of this integration.


Prerequisites​

Adding the Integration (Install & Connect)​

  1. Log in to app.minotaursales.io.
  2. Navigate to Settings β†’ Connections β†’ Emails.
  3. Click Connect Microsoft / Outlook.
  4. A new browser tab opens with Microsoft's authorization page. Select or log in to your Microsoft account and review the requested permissions:
    • Read your profile (User.Read, User.Read.All)
    • Read and send Outlook mail (Mail.ReadWrite, Mail.Send, Mail.ReadBasic)
    • Maintain access when you're not using the app (offline_access)
  5. Click Accept.
  6. The tab closes and Minotaur completes the connection. Your Outlook address now appears as a connected account in the Emails table under Settings β†’ Connections β†’ Emails.

Using the Integration​

Sending Email to a Contact​

  1. Open any contact record.
  2. Click Send Email (or the email icon in the contact's actions).
  3. Your connected Outlook account is available as the sender.
  4. Compose your message (subject, body, attachments) and click Send.
  5. The sent email is logged as an email activity on the contact's timeline.

Replying and Forwarding​

  • Open an email thread in a contact's record.
  • Use the Reply or Forward action to send directly from your Outlook account.

Reading a Contact's Email History​

  • Open a contact record and navigate to the Emails tab (or the activity timeline).
  • Minotaur fetches messages from your Outlook inbox where the contact's email address appears, displaying them in the contact's profile.

Automatic Inbound Email Capture​

Minotaur subscribes to your Outlook inbox via a Microsoft Graph change-notification webhook. When a contact emails you, the message is automatically logged as a CRM activity on the contact's record and triggers an in-app notification.

Inbound capture applies to messages from known contacts only (the sender's email must match a contact in Minotaur).


Removing the Integration​

  1. Go to Settings β†’ Connections β†’ Emails.
  2. Find your Outlook account in the table.
  3. Click the delete (trash) icon on that row and confirm.
  4. Minotaur removes the stored OAuth tokens for that account. Future emails and inbound capture for that address are disabled.

Note: Removing the connection in Minotaur does not immediately revoke the Microsoft Graph webhook subscription. To fully revoke access at Microsoft's end, visit Microsoft My Apps or your Azure AD Enterprise Applications list and remove Minotaur.


Troubleshooting / FAQ​

"This Outlook account is already connected" (error code 0067)​

Each Outlook address can only be connected once per user. Check your existing connections in Settings β†’ Connections β†’ Emails. To switch accounts, delete the current connection first.

My connection shows "Expired" or "Disconnected"​

Go to Settings β†’ Connections β†’ Emails, delete the expired connection, then click Connect Microsoft / Outlook again.

Your organization's Azure AD administrator has restricted third-party app access. Either:

  • Ask your IT admin to pre-approve Minotaur in Azure Portal β†’ Azure Active Directory β†’ Enterprise Applications.
  • During the OAuth flow, click Request approval and wait for your admin to grant consent.

Inbound emails are not being captured automatically​

  • The sender must be a contact already in Minotaur (their email must match a contact record).
  • Microsoft Graph webhook notifications can have a delay of a few minutes.
  • If you recently reconnected, allow a few minutes for the subscription to reactivate.

The Emails tab shows no messages for a contact​

  • Verify the contact has an email address that matches what is stored in Minotaur.
  • Minotaur searches your inbox only. Messages in other folders (e.g., Junk, Archived) are not shown.

Data & Privacy​
